General appointment procedure for residents/fellows in accredited programs (including dentistry and podiatry):

Please allow at least two weeks for an appointment to be generated (from the time received in GME). If a clinical trainee requires a visa, please allow at least three months lead time from the time GME receives completed paperwork from the department and future trainee.
Although salary and benefits for residents and fellows in these positions are charged to education, some positions are charged back to the clinical department according to previous agreement and discussion during the budgeting process.

The GME Department maintains the permanent record for all clinical trainees; therefore, original application materials must be submitted to GME with the initial appointment request. This includes not only the form, but also recommendation letters, personal statements and other supporting documents.
Regardless of the length of the training program, clinical trainees are reappointed on an annual basis.
The appointment letter generated by GME (under the name of the Director of GME) and the candidate’s written acceptance are considered the formal contract. Please note the contract will be invalid if the candidate does not meet all the conditions to begin training.

Clinical trainees who require visa paperwork in order to enter the U.S. to begin training should not schedule an appointment with their consulate until they have received the appropriate paperwork to apply for their visa.
There are a number of contingencies that the clinical trainee agrees to meet when accepting the training position. These requirements must be met to allow a clinical trainee to begin the training program.
Clinical trainees appointed to begin July 1 will be expected to report for orientation on the date in June designated for first year residents or July 1 (for all upper level residents and fellows).
Clinical trainees appointed to begin on any other date are required to contact the GME Department (216.444.5690) to schedule an appointment. Orientation sessions are scheduled every Monday and Wednesday morning and are by appointment only beginning at 8:30 SHARP. Anyone who is late will be rescheduled. The official start date (and date salary begins) will be the date of orientation.
Please contact the GME Department with information on appointment withdrawals or start date changes so our records may reflect current appointment status.
Candidate Responsibilities

Needs to meet RRC requirements for selection (i.e., most fellowships require ACGME residency training prior to ACGME fellowship).
International medical school graduates (outside U.S., Canada and Puerto Rico) must have a valid ECFMG certificate.
Program Coordinator/Program Director Responsibilities

For first-year positions, nothing needs to be done by the program after the NRMP results are released.
Upper-level residency and fellowship programs going through a Match: After Match results are received by the program, the following must be sent to GME: memo with names of appointees and start date or copy of the Match list and original application materials. If the program receives applications through ERAS, no materials need to be forwarded. The GME Department will request any additional documents required to complete the permanent record.

Fellowship programs not going through a Match: A memo with names of appointees including a start date and any special instructions should accompany original applications materials. If the program receives applications through ERAS, no materials need to be forwarded with the appointment memo.
Clinical trainees in accredited programs will be paid at the graduate level required to enter the training program. Additional compensation is not provided for research, dedicated chief resident year or any training beyond what is required to enter that program. For example, a trainee entering the cardiology fellowship program will be paid as a PGY 4, even if they did one year of research or a chief resident year after they completed three years of internal medicine.

Every program has a maximum number of trainees approved by their program-specific Residency Review Committee (RRC) for a specific number of years. Programs must stay within these requirements and appoint only the number of trainees approved by the RRC for the number of years approved.

GME Department Responsibilities
Generate formal appointment.
Request documents missing from candidate’s file.
Provide appropriate forms for visa application (if applicable).
Send Ohio State Medical Board Training Certificate Application with instructions.
Provide candidate with link to GME Internet site to review requirements and benefits, and to complete forms prior to beginning training.
